Each project complements the others and helps the program achieve its ultimate goals. The project is a single, focused effort designed to achieve particular aim. Communication is vital in the day-to-day operation of the program, serving as the lifeblood of individual projects and the overall program because the success of the individual projects and overall management of the projects is depended on how well stakeholders are informed of progress, problems, and controls. Each project’s success is depended on the efficiency of its communication network, which begins on the first day of the planning and execution and continues throughout the project’s life cycle. Effective communication allows for regular updates on the status of each particular project as well as its performance. Literature Review This literature review aims to analyze the prior research on the effectiveness of program management communication plans and the elements that make communication plans to facilitate smooth process of updating stakeholders and keeping them informed of progress, problems, and controls. The communication plan is developed to organize and document the communication method, types, and expectations that are to be followed by project stakeholders (Rajkumar, 2010). The first elements include stakeholder’s communication requirements that describe how right information can be communicated as desired. The second element of communication plan is detail project reports that are different from brief e-mail updates and they serve as part of the communication plan’s format, content, and particulars (Rajkumar, 2010). The third communication plan elements include communication structure which specifies where the information will originate, to whom it will be transmitted, and in what format it will be accepted. Email, memos, reports, and even press releases would be included in the communication plan as appropriate methods of communication (Muszyska, 2016). The fourth element of communication plan is about specifying the meeting schedule. For instance, the status meeting for the program should occur regularly, whereas other communication may be motivated by circumstances inside the project (Rajkumar, 2010). Lastly, communication plan will also outline the procedure for elevating unresolved issues to the program management level if they cannot be resolved at the project level. Findings A comprehensive evaluation of the journals found that a program communication plan is a vital lifeline for updating stakeholders and services and a resource for individual stakeholders, projects, and the project team (Muszyska, 2016). The program communication plan enabled the project’s stakeholders to keep the project on track, develop a written document that the team could refer to, establish expectations for when stakeholders will receive updates, and boost stakeholder insight into the project’s state (Rajkumar, 2010). The communication plan affords the option for feedback, which enables the team to spot problems early on and reduce unnecessary work. The communication schedules allow the program manager to problem-solve at the project’s conclusion, provide feedback on the state of each project, and implement control measures for the project’s problems. Conclusion The program management communication plan could include information and guidelines for project status meetings, team meetings, e-meetings, and email. Each project’s success depends on the efficacy of its communication network, which begins on the first day of the venture and continues throughout the project. The communication plan describes the aim and objectives of the communication plan, the stakeholders and their roles, the mode of communication, and the frequency with which each stakeholder would like to receive information. Communication provides the opportunity for feedback, which enables the team to detect issues early and reduce wasted effort, creates a written record that the team can refer to, establishes stakeholder expectations regarding when they will receive project updates, and increases stakeholder visibility into the project’s status.
